Invitation to present

Dear doctor

It is my pleasure to inform you that you have been selected to speak at our first regional medical meeting called MUDr Talks: Autumn Meeting 2020. The event will be held online due to current pandemic restrictions on Microsoft Teams on Wednesday 25th November at 19:00 GMT.

In order to set and maintain high standard of our meeting I am obliged to inform you about our guidelines and rules.

Building the programme

As mentioned previously we expect you to tell us name of your presentation by Saturday 21/11/20 19:00. Along with this please let us know your title, name, job title and current organisation. This will be used to publish our programme. For example:

Please bear in mind that due to high demand, we are obliged to limit the time of each presentation to 20 minutes followed by a 5-minute time frame for questions from an audience. This will be strictly monitored and you will be alerted 5 minutes and 1 minute prior to the scheduled end of your talk. We highly recommend that you rehearse your talk beforehand.

Your presentation must:

  • have declaration of conflicts of interest, even if none;
  • state used references using correct citation format (any);
  • be exported to .pptx format to be used in Microsoft Teams;
  • UPDATE: have a 16:9 format.

Your presentation must NOT

  • contain ANY identifiable patient data.

Using Microsoft Teams

It is our responsibility to prevent any technical issues on the day of the session. Therefore, we would like to briefly test Microsoft Teams few days before the meeting. We understand that you are busy during this time but it is improtant to sort any technical issues beforehand. We will be in touch with two timeslots for test run in short time.

In the meantime, please familiarise yourself with Microsoft Teams and make sure you have equipment ready and functional to deliver your talk.

Meeting will be recorded and published on our website for non-commercial and educational purposes. By presenting you give your consent to this.

At the end of the meeting you will be given feedback form for all presentation. Please give feedback to your colleagues as they will do the same for you. After this is completed you will be awarded certificate for oral presentation at regional meeting.

Bottom line

If you have any questions please do not hesitate to contact me. If you wish to not present anymore, please let us know as soon as possible.

I am looking forward to hearing from all of you soon.
